Build a practical appointment request and calendar invite
A booked service needs an agreed time, location or meeting link, and a clear method of confirmation. In this free appointment studio you can prepare time slots, create an iCalendar invitation and generate a prefilled email request for a customer or colleague. You can also export a simple embedded booking-request HTML form with a user-provided HTTPS submission endpoint. This edition does not host a booking database, check live availability, reserve slots on a shared calendar or automatically send confirmations. A requested slot is not confirmed until the provider accepts it.
Before you start
Availability rules should account for appointment length, preparation, travel time, time zones and cancellations. A downloadable calendar invitation is useful, but it does not reserve the slot in a shared calendar or notify staff automatically.

How to use this tool
- Enter the service, date, start time, duration, time zone, location and organiser contact.
- Preview the proposed appointment and download an ICS file to add it to a calendar or send with a request email.
- If building a website request form, supply a trusted HTTPS form handler and test its notifications and spam controls before publishing.
A real-world example
A consultant offers a 30-minute discovery call at 10:00 SAST on a selected date. The exported ICS file opens in a calendar application, while the email request asks the other party to confirm before it is considered booked.
Always distinguish a proposed appointment from a confirmed booking. Do not promise availability without connecting a reliable calendar backend.
Check this before you finish
- Confirm the local time zone and date before sharing.
- Set realistic appointment duration and location.
- Keep a separate booking system for shared availability and confirmations.
What to avoid
Do not promise a booking is confirmed merely because a calendar file was generated.
WHAT THIS TOOL ACTUALLY DOESExport an event invitation that people can import into their calendars.
Frequently asked questions
Does it sync with Google Calendar?
Not directly. The downloaded .ics file is compatible with many calendar apps but does not create an appointment for the other person automatically.
Can I put the booking form on my site?
Yes, export the HTML and connect it to your own supported secure form handler. Without a handler, the form deliberately cannot submit.
