Build a professional email signature without the clutter
A good business email signature makes it easy to identify the sender and find the right contact details. It should be readable on a phone, survive forwarding and display reasonably well across Gmail, Outlook and other email clients. Heavy images and complex layouts usually cause more trouble than they solve.
Before you start
Email signatures must survive different mail clients, narrow screens and forwarded replies. Keep the hierarchy obvious: name, role, company, then useful contact methods. An oversized logo, decorative fonts and too many colours can make a signature harder to read.

How to use this tool
- Enter your business identity and the contact channels you actually monitor.
- Choose a compact or classic layout and preview the result.
- Copy the rich signature into your mail application, send yourself a test email, and inspect the result on mobile.
A real-world example
A founder may need only a name, job title, company, phone and website. A sales representative might also include a booking link.
Use a public HTTPS image URL for logos. A file on your laptop will not appear for recipients.
Check this before you finish
- Send test emails to Outlook, Gmail and a phone.
- Host the logo on a stable HTTPS URL with permission to reuse it.
- Provide plain contact text when linked images do not display.
What to avoid
Rich HTML pasted into a plain-text editor often loses styling. Test the final signature in the actual email program.
WHAT THIS TOOL ACTUALLY DOESCopy the formatted HTML and plain-text variant. The tool cannot guarantee how every email client renders it.
Frequently asked questions
Will the signature look identical in every email client?
No. Mail clients interpret HTML differently. Simple tables and inline styles improve compatibility, but testing matters.
Can I paste it into Outlook?
You can try the rich-copy output in the signature editor, then send a real test email before deploying it across your team.
